We understand our role as a "school official" under the Family Educational Rights and Privacy Act (FERPA) and take this responsibility seriously. All student education records are handled in accordance with FERPA requirements, and we maintain appropriate safeguards to protect the confidentiality of student information.

Information We Collect

Through our Paradigm Special Ed Suite and related services, we may process on behalf of our school clients:

• Student demographic information
• Educational records including IEPs and progress reports
• Attendance and enrollment data
• Health and medical information
• Billing and financial records
• Staff and employee information

This information is collected and processed solely for the purpose of providing our services to schools.

How We Protect Data

We implement robust security measures including:

• Role-based access controls
• Encryption of data in transit and at rest
• Regular security audits
• Employee background checks
• Secure hosting facilities
• Automated backups and disaster recovery
• Audit logging of all data access

AI Features and Data Privacy

Our AI-powered features (such as IEP generation) are designed with privacy in mind. Before any data is sent to AI services, personally identifiable information (PII) is stripped from the content. The AI processes only anonymized educational content, and personalization is added back locally after processing. This ensures student privacy is maintained even when using advanced AI capabilities.

Data Sharing

We do not sell, trade, or otherwise transfer student information to third parties. Data is shared only:

• As directed by our school clients
• With service providers who assist in operating our platform (under strict confidentiality agreements)
• When required by law

Data Retention

We retain data for as long as necessary to provide our services and as required by our contracts with schools. Data retention, backup, and recovery practices are maintained solely for Provider's operational continuity and disaster recovery purposes, as outlined in the applicable Service Agreement and Risk & Continuity Covenant.

Data Responsibilities

Schools and their authorized representatives are responsible for:

• Utilizing available reporting, secure PDF, and export functions within the platform to maintain copies of critical records as needed for their own compliance and operational purposes
• Ensuring accuracy of data entered into the system
• Requesting corrections to inaccurate data through standard support channels
• Complying with all applicable privacy regulations in their use of the platform

Data portability, export, and deletion rights are governed by the terms of the applicable Service Agreement and Risk & Continuity Covenant.
